This privacy notice explains how VIEWEE LIMITED ("Viewee", "we", "us") collects and uses personal data through the Viewee website and waitlist, and in connection with pilot services. It is intended to meet the transparency requirements of the UK GDPR and the Data Protection Act 2018.

2. The personal data we collect and why
Waitlist and enquiry form
When you join our waitlist or contact us through the website, we collect:
your name;
your company or organisation;
your work email address;
the number of care sites you operate; and
the approximate number of residents you support.
We use this to manage the waitlist, respond to your enquiry, and contact you about Viewee's product and pilots. Our lawful basis is our legitimate interests in building and operating our business and responding to organisations that have asked to hear from us, and, where discussions progress, taking steps towards a contract at your request.
Pilot customer accounts
If your organisation becomes a pilot customer, we collect the names, work contact details and login credentials of the staff members it asks us to set up, so we can provide and support the service. Lawful basis: performance of our contract with your organisation, and our legitimate interests in operating and improving the service.
Feedback data processed for care providers
Viewee helps adult social care providers collect and act on feedback from residents, families and staff. When a care provider uses Viewee, the provider is the data controller for that feedback and we act as its data processor under a written data processing agreement. Feedback may include special category data (for example, information about a resident's health or care). We process it only on the provider's documented instructions. If you are a resident, family member or member of staff, the provider's own privacy notice explains how your feedback is used; please contact the provider first, though we will help them respond.
Website analytics
We use Cloudflare Web Analytics, a cookie-less analytics tool, to understand aggregate website usage (for example, page views and referrers). It does not set cookies, does not use local storage or device fingerprinting, and does not collect personal data that identifies you.
Correspondence
If you email or message us, we keep the correspondence to handle your query and maintain our relationship. Lawful basis: legitimate interests.
3. Who we share personal data with
We do not sell personal data. We share it only with:
service providers acting as our processors, under contract: website and application hosting providers (data hosted in the UK/EEA) [name hosting providers], Cloudflare (web analytics and security), and our email and productivity provider [name provider];
professional advisers (for example, solicitors and accountants) where needed; and
regulators, law enforcement or courts where the law requires it.
4. International transfers
Our primary hosting is in the UK and EEA. [Confirm whether any processor, such as Cloudflare, processes personal data outside the UK/EEA; if so, describe the safeguard used, for example the UK addendum to EU standard contractual clauses or the UK International Data Transfer Agreement.]
5. How long we keep personal data
We keep waitlist and contact data for [e.g. up to 24 months from your last interaction with us, or until you ask us to delete it - confirm retention period]. Customer account data is kept for the life of the contract plus [confirm period]. Feedback data processed on behalf of care providers is retained or deleted in line with each provider's instructions. We then delete or anonymise data securely.

Under the UK GDPR you have the right to:
be informed about how we use your data (this notice);
access your personal data;
have inaccurate data corrected;
have your data erased, in some circumstances;
restrict or object to our processing, in some circumstances (including an absolute right to object to direct marketing);
data portability, in some circumstances; and
withdraw consent at any time, where we rely on consent.

8. Complaints
If you have a concern about how we handle your data, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or by phone on 0303 123 1113.

We may update this notice from time to time. The current version will always be on our website with its date. This version is dated [publication date].
